Welcome to Nailbag. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our mobile application (the "App"). Please read this privacy policy carefully. If you do not agree with the terms of this privacy policy, please do not access the application.

We reserve the right to make changes to this Privacy Policy at any time and for any reason. We will alert you about any changes by updating the "Effective Date" of this Privacy Policy.

2. Collection of Your Information

We may collect information about you in a variety of ways. The information we may collect via the App includes:

Personal Data You Provide to Us

  • Account Information: When you register for an account, we collect your name and phone number. You may also voluntarily provide your company name.
  • Project and Task Data: We collect all the information you enter to create and manage projects and tasks, including descriptions, dates, and status.
  • Contact Data: We collect information on the contacts you add to the App, including their names, phone numbers, and trade/specialty.

Information from Your Device (with your permission)

  • Device Contacts: With your explicit permission, we access your device's contact list to allow you to import contacts into the App. We only import the contacts you select.
  • Calendar Access: With your explicit permission, we access your device's calendar to display your tasks and projects for scheduling purposes.
  • Microphone Access: With your explicit permission, we access your device's microphone to enable the Voice Agent feature. Audio is streamed for real-time processing and is not stored after the voice command is processed.

Automatically Collected Information

We may automatically collect certain information about your device, including your mobile device's unique ID, IP address, operating system, and information about the way you use the App to help us improve our service.

3. Use of Your Information

Having accurate information about you permits us to provide you with a smooth, efficient, and customized experience. Specifically, we may use information collected about you via the App to:

  • Create and manage your account.
  • Provide the core functionality of the App, such as project, task, and contact management.
  • Send SMS notifications and approval requests to your contacts on your behalf.
  • Enable the hands-free Voice Agent functionality.
  • Monitor and analyze usage and trends to improve your experience with the App.
  • Respond to your support requests.

4. Disclosure of Your Information

We do not sell your personal information. We may share information we have collected about you in certain situations. The third-party service providers we may share your data with are as follows:

  • Supabase: We use Supabase as our backend service provider for database storage, authentication, and cloud functions. All your data is stored securely with Supabase.
  • OpenAI: When you use the Voice Agent feature, we stream audio data to OpenAI's APIs for processing. This data is used solely to transcribe your speech and execute your command and is not used for training OpenAI's models or stored long-term.
  • Twilio: We use Twilio to send SMS messages on your behalf for features like task assignments and approval requests. We share the recipient's phone number and the message content with Twilio for the sole purpose of sending the SMS.
  • Legal Requirements: We may disclose your information if required to do so by law or in the good faith belief that such action is necessary to comply with a legal obligation.

5. Security of Your Information

We use administrative, technical, and physical security measures to help protect your personal information. We leverage the security features of our backend provider, Supabase, including Row-Level Security and SSL/TLS encryption for data in transit. While we have taken reasonable steps to secure the personal information you provide to us, please be aware that despite our efforts, no security measures are perfect or impenetrable.

6. Your Data Rights

You have the right to access, update, or delete your information at any time.

  • You can review and change your profile information from the Settings screen in the App.
  • You can create, update, and delete projects, tasks, and contacts directly within the App.
  • If you wish to terminate your account, you may do so from the Settings screen or by contacting us. Upon your request, we will deactivate or delete your account and information from our active databases.

7. Policy for Children

We do not knowingly solicit information from or market to children under the age of 13. The service is intended for professionals in the construction industry, and we do not expect it to be used by children.

8. Overseas Disclosure

We are based in Australia. Some of our service providers are located outside Australia and your personal information may be disclosed to recipients in other countries, including the United States and the European Union (for example, cloud hosting and communications providers such as Supabase, OpenAI and Twilio). We take reasonable steps to ensure overseas recipients handle your information in a way that is consistent with the Australian Privacy Principles (APPs). By using the App, you consent to this international transfer.

9. Data Retention and Deletion

We retain personal information only for as long as it is needed for our functions or activities or as required by law. You may request deletion of your account and associated personal information at any time. We will take reasonable steps to de‑identify or delete personal information that is no longer required.

10. Access and Correction Requests

Consistent with the APPs, you may request access to the personal information we hold about you and ask that it be corrected if you believe it is inaccurate, out‑of‑date, incomplete, irrelevant or misleading. We will respond to your request within a reasonable time.

If you have a privacy complaint, contact us first so we can attempt to resolve it. If you are not satisfied with our response, you may contact the Office of the Australian Information Commissioner (OAIC):
